Getting started with S•O•SSM  sampling is simple. Our step-by-step guides, videos, and tips make it easy to take accurate samples and send them to the lab.

Whether you’re new to S•O•SSM sampling or looking for a refresher, we’re here to help every step of the way.

Our Process

  1. Order your SOS oil sampling kit from William Adams.
  2. Collect a fluid sample from your machine.
  3. Log in to VisionLink to register your sample using the bottle QR code.
  4. Post the sample to William Adams using the prepaid bag.
  5. Our lab tests the sample and reviews the results against your machine’s history. Your report and recommendations are available via VisionLink

Our SOS sample kits must be used for all SOS testing because the kit price includes everything required for end‑to‑end processing: the sampling components, return postage bag, laboratory testing, and reporting. Using our kits ensures there are no unexpected additional charges and that your sample can be processed without delay.

Our sample bottles are manufactured from known, validated materials that will not leach or contaminate the sample. They are also designed to correctly fit our laboratory equipment, which is essential for accurate and reliable testing. Using alternative containers may introduce contamination or result in incompatible handling during analysis, which can compromise results.


No. Samples received in non-approved containers cannot be guaranteed to be suitable for testing or free from contamination. This may result in invalid results, delays, rejection of the sample, or the need for re-sampling, which can cause additional time and cost.


If a sample has already been collected in a non-approved container:

  • At our Clayton branch: Purchase the appropriate SOS sample kit from the parts counter and bring it, together with your original sample, to the laboratory. Our lab team will transfer the sample into an approved container.
  • Not at our Clayton branch: Purchase the appropriate SOS sample kit from the parts counter and ask them to send it, together with your original sample, to the laboratory. Our lab team will transfer the sample into an approved container.

Please ensure there is sufficient sample volume, as indicated by the fill line on the approved bottle. Insufficient volume may mean the sample is not suitable for testing, and re-sampling may be required.


Accurate and complete sample cards are essential to ensure correct testing and interpretation. The information provided is used to:

  • Correctly identify and register the sample for testing.
  • Interpret results accurately.
  • Produce a compliant laboratory report.

Incomplete, unclear, or incorrect information can lead to delays, misinterpretation of results, or the need to contact you for clarification.

Where QR Code registrations are used (either via Cat Inspect App, VisionLink web or VisionLink app), please ensure the inspection is submitted and not left as pending. We do not receive any sample information until it has been submitted.


Please ensure all sections of the sample card are fully completed, including:

  • Serial number, equipment number, or registration number (vehicles only)
  • Customer and contact details. Notes where applicable about the sample/machine.
  • Sample date and machine hours.
  • Compartment
  • Filter / fluid changed and Fluid brand, type, and grade.

Providing complete and accurate information enables us to deliver the most meaningful and reliable results.


If a sample is received with incomplete documentation or in an incorrect container, testing may be delayed or placed on hold while clarification is obtained. In some cases, re-sampling may be required.

Unknown samples are discarded at the end of each month where we are unable to determine whom to contact or have received no response when contact has been attempted.


Turnaround time is calculated from when samples are received at the laboratory, not from the date of sampling or dispatch.

Typical turnaround times are:

  • Oil testing: 2 working days
  • Coolant testing: 5 working days
  • Fuel testing: 10 working days

Please note that these times apply once the sample has been received, registered, and is suitable for testing. Delays may occur if sample information is incomplete, the incorrect kit is used, or the sample volume is insufficient.


If you have an urgent or priority sample, please contact the laboratory as soon as possible. Depending on the type of testing required and current laboratory capacity, we may be able to shorten the standard turnaround time.

Urgent or priority processing is intended for genuine operational emergencies only. Our laboratory team will collaborate with you to determine whether an expedited turnaround can be achieved and advise on the best course of action.
