Anyinginyi Health Aboriginal Corporation (AHAC) is a multi-disciplinary organisation which provides primary health care services to the Aboriginal people of Tennant Creek and the surrounding Barkly region, dedicated to 'Closing the Gap' in Aboriginal health within remote Australia.
Anyinginyi consists of 6 different sections (Corporate Governance, People and Capabilities, Health Services, Business Services, Public Health and Piliyintinji-Ki Stronger Families Section) which allow them to have a holistic approach to health ensuring that clients' physical, emotional, mental and general health and well-being is given the utmost priority.

About the Opportunity
The position will liaise with internal and external stakeholders including Senior Management, Board Members and other stakeholders as required. In providing this support the position exercises a high degree of communication competence, initiative, discretion, and confidentiality.
As the Board Secretariat you will assist the CEO, Governance and Policy Manager, Executive Officer and the Chair in respect of all interactions between the Executive and the Board, including the preparation of Board agendas, taking of minutes, preparation of materials for Board meetings, and similar functions for the Board sub-committees as required.
This includes responsibility for the administrative functions of the AGM maintaining register of members and working to support board sub-committees. You will be building and maintaining strong relationships with the Board and Sub-committees.
The Governance and Secretariat Officer communicates with Executive Managers through the Governance & Policy Manager to provide high-level support to the Corporate Governance unit.
Key Duties & Responsibilities
• Planning all board meetings and scheduling of all requirements for these meetings.
• Prepare agenda and committee papers in consultation with relevant Committee
Chairs.
• Ensure timely collation and distribution of papers (packs) for Executive-level
committees and Board.
• Prepare reports used by the relevant governance forums.
• Act as initial point of contact to manage logistics and scheduling of regular and special
/ Ad-hoc committee meetings.
• Maintain effective, auditable, accessible, and user-friendly records management of
committee and Board related documentation, including taking minutes and ensuring
that actions and decisions are recorded and circulated to relevant stakeholders.
• Ensure documents are uploaded internally and saved for CQI purposes.
• Support the Governance and Policy Manager in contributing to policy updates and
governance documentation.
• Responsible for the Annual General Meeting coordination and compliance
• Responsible for coordinating business papers from Exec Managers and in a timely
manner, report back Board decisions relating to motions and actions.
• Organise Board training requirements and compliance.
• Distributing Board minutes and motions at the request of the CEO/Executive Officer
• In conjunction with the Governance and Policy Manager and CEO, ensure compliance
and documents are registered with ORIC.
• Board travel, expenses, T.A. reimbursement.
• Member newsletter to keep informed on what the board is doing.
• Or support the Public Officer carrying out duties as per CATSI Act & ORIC.
• Perform other duties as request by your line manager that are reasonably within your
capacity and capability.
ABOUT YOU - SELECTION CRITERIA
To be successful in this role, you will need to possess the following:
Essential skills and experience:
• Prior experience in a similar Board Secretariat, administration, or Corporate Governance position
• Outstanding administration skills, with experience using Microsoft Products and similar
systems.
• Strong ability to research, synthesise information, and prepare minutes, letters,
reports, or draft recommendations.
• Demonstrated ability to communicate effectively with multiple stakeholders in different
locations, with competing priorities.
• Experience in meeting coordination, scheduling, distributing agendas, minute taking,
and presentation preparation.
• Excellent oral and written communication skills suited to a range of audiences including
preparation of reports and applications.
• Demonstrated time management skills in the ability to effectively manage multiple
tasks to meet deadlines.
• Demonstrated ability to coordinate meetings from communicating with members in
scheduling meetings through to preparing agenda, effective minute taking, preparation
and presentation of final minutes.
• Demonstrated ability to prepare and update registers for Board meeting actions,
motions and corporate compliance.
• A good understanding of governance with respect to roles and responsibilities of the
Board and that of operations.
• Demonstrated records management skills with electronic and hard copy file naming
conventions and filing systems.
Desirable
• Experience in an Aboriginal community controlled primary health care environment.
• Recognised Board secretariat training.
